The ERPNext Implementation Checklist Every SME Needs

Rolling out an ERP system is one of the highest-leverage decisions an SME can make — and one of the easiest to get wrong. Most failed implementations don't fail because of the software. They fail because of what happens before go-live.
Here's the checklist we walk every client through before their ERPNext system goes live.
1. Map your processes before you configure anything
Before touching ERPNext's configuration screens, document how your business actually operates today: procurement flows, approval chains, inventory movements, invoicing cycles. Software should fit the business, not the other way around.
2. Clean your data before you migrate it
Duplicate customer records, inconsistent SKUs, and stale supplier data will follow you into the new system if you don't clean them first. Budget real time for this — it's usually underestimated by a factor of two or three.
3. Pilot with a single department
Don't flip the switch company-wide on day one. Run a pilot with one department or one warehouse, gather feedback, and fix workflow gaps before rolling out further.
4. Train the people who'll actually use it daily
Admin-level training isn't enough. The warehouse staff, the sales team, the accountants — each needs role-specific training on the exact screens they'll touch every day.
5. Plan your go-live window carefully
Choose a low-activity period for cutover, keep the old system accessible in read-only mode for a transition period, and have your implementation partner on standby for the first two weeks.
6. Set a 90-day review checkpoint
Once live, revisit the system after 90 days. Real usage patterns will surface gaps that no amount of planning could have predicted — this is normal, and it's the point where an ERP starts actually fitting your business instead of just running it.
